Do You Know About . . . Project Control

Project Control is only available in the BillQuick Pro and Enterprise Editions.

Project Control gives you the ability to assign employees/subconsultants and/or activities and expenses to specific projects. Only assigned employees and subconsultants can charge these  activities and expenses to the project. In fact, when entering time and expenses only the employees and subconsultants assigned to a project will see the project in drop-down lists.

Assignments restrict access to items in Time Entry, Expense Log and Timer, and flows out to time and expense functions in Web Suite and other add-on modules.

Why assign employees/subconsultants, activities and expenses to a project? The top 3 reasons are:

  1. To speed up time and expense entry.

  2. To ensure the most accurate information is recorded for time and expenses.

  3. To limit access to confidential information.

To assign an employee to a project:

  1. Select the project.

  2. Click the Employee assignment radio button. This displays employees in the Available Items list. Optionally, you can choose a range of employees and an employee group, and include vendors (subconsultants) in the Available Items list.

  3. Ctrl-Click to the left of each employee you want to assign to the project, then click to move them to the Assigned Items column.

  4. When you click , select another project, or another item to assign, the assignment is saved.

Use these same steps to assign activities and expenses to a project.

Note: If you prefer, you can use the budget assigned to a project as the starting point for assigning employees, activities and expenses. Click to copy the assigned employees, then again if you want activities and expenses in the budget assigned to the project. You can add other items to Assigned Items lists.

If you have Internet access but do not allow BillQuick to automatically download updates (you turned off AutoUpdate in the Other 2 tab on the Preferences screen), go to the File menu and select Get Updates. When you exit BillQuick, the update automatically installs.

If desired, you can download the latest BillQuick 2004 update from the BillQuick web site. Click Save when prompted. Next, run the setup program from the folder in which it was saved.
