Not every company
manages projects the same way.
And the work done for clients is
not always a simple scope of
work. Sometimes you need phases.
BillQuick has offered the simple
one-level project and two-level
phased project for many years.
Now
BillQuick 2008 enhances your
project management options with
two more project levels -
Segments and Sub-Segments.
Every project in
BillQuick can stand by itself or
be part of a project hierarchy.
Depending on your particular
needs, a project record might be
classified as a:

Standard
project
-
Parent
project
-
Phase
-
Segment
-
Sub-Segment
A standard
project would typically be one
with a simple scope of work. In
other words, the scope does not
need to be broken down into
smaller scopes for management or
because of client requirements.
A Parent project
signals a multi-level project
hierarchy. A parent project is
one in which one or more
projects fall below it in a
hierarchy. These lower projects
may be phases, segments or
sub-segments. In the diagram
above, a phase project is both a
sub-level of the project above
it and a parent to the segments
below it. Similarly, one segment
is a parent to two sub-segments.
Main Project
or Not
Any project can
be flagged as Main Status. While
it is common for a parent
project to have Main Status,
BillQuick 2008 does not
require that it be Main
Project. Main Status triggers
features and processing rules in
BillQuick, including:

Time
and Expense |
You
can only charge time
and expenses to a
project with Active
Status. If the
project has Main
Status or a status
other then Active, you
cannot charge
time and expenses to
it. |

Contract Amount
|
The
contract amount for
a project with Main
Status can be
distributed to
projects below it in
the hierarchy. Thus,
if a project with
Main Status has a
$1,000,000 contract
amount, and Phase 1
under it (with
Active Status)
should have 25% of
it, the contract
amount for Phase 1
would be $250,000.

Account Roll-Up
|
On
the Project screen,
when you choose a
project with a Main
Status, the Account
tab rolls up all
amounts from the
projects below it in
the hierarchy. This
is not only for the
top-most level, but
for any other
project in the
hierarchy with a
Main Status and
projects with
activity below it. |

Clone
Phase |
On
the Project screen,
when you select a
project with a Main
Status, a Create
Phase button appears
next the project ID.
Using this button,
you can clone the
Main Status project
to a new project
record, carrying
forward its profile
(contract type,
service fee
schedule, etc).
Optionally, you can
take part of the
contract amount for
the Main Status
project when you
clone. |

Invoice Review |
On
the Invoice Review
screen, if you
choose a project
with a Main Status
(Project filter),
all invoices for the
projects below the
project in the
hierarchy are listed
in the grid.

Thus, when you
set up your hierarchy, consider
these features and rules and
determine whether a particular
project in a hierarchy should be
Main Status or not.
Creating a
Project Hierarchy
Setting up a
project hierarchy can be done in
three ways:

Setup
a project record, then link
it to another project using the 'Set
this Project as a Phase of'
feature on the
Project-Detail screen.

Clone
a main project record to
another project record using
the Create Phase button.

Clone the
project hierarchy from any
main project and its lower
level projects. When you
choose a main project,
BillQuick asks if you want
to clone the projects below
it.
