Your logo and special text fonts on your letterhead — the visual portions of your brand — remind managers and staff in government agencies and companies about your firm. When they think of your company and its people, they remember the quality, commitment and professionalism you’ve delivered to every job.
Inquiring minds want to know how they can expand their visual brand to invoices generated in BillQuick. You might want to add a small logo. Or you may want to duplicate your company letterhead atop every invoice with a unique image and text fonts.
How can I add a logo to my invoices?
To add an image as a company logo, select View, Company from the menu, then click the Tools drop-down button. Select Add Logo from the list. A browser window displays.
Next, navigate to the location where the graphic is stored. Select the desired file. Click Open. The image displays in the logo box.
Now when you view or print an invoice, your logo is automatically inserted to the left of your company name and contact information.
An image must be in Bitmap or Jpeg graphic format (.bmp, .jpeg or .jpg file extension). Also, if the height or width of the image is greater than 125 pixels, BillQuick scales it to fit. This can result in a skewed image – its width or height (or both) may be squeezed. Sometimes this looks okay and other times . . . It’s best to pre-size the image to 125 by 125 pixels.
How can I put our company letterhead on my invoices?
When you want to add your company letterhead to invoices generated in BillQuick, you need to customize templates. All standard invoice templates in BillQuick are open to you. To customize a template, you need Crystal Reports report writer and someone in your company who knows how to use it.
If you prefer to focus your managers and staff on productive and billable activities, or do not have anyone in-house with Crystal Reports experience, the BQE Report Team can help. Contact your Account Manager (888-245-5669 or 310-602-4020) to liaison for you.
Note: The BQE Report Team guarantees that customized templates will work with all future versions of BillQuick and Web Suite.
To efficiently communicate your changes, print BillQuick invoices in the different templates you use. You can also work with a printed invoice from a previous application, one mocked up in Microsoft Word or Excel, or one you hand draw.
Next, mark up the page. Identify the changes you want and where they should appear on the page.
Finally, fax or email the graphics for your letterhead and the marked-up pages to your Account Manager. Within 72 hours you will have a quote.
Note: While changing the header, take a look at the other elements on the template. Mark any other items you want to fine-tune. Remember, it is the image you want to present to clients and prospects.
